Processing of personal information

When you join Uppsala University Alumni Network, you consent to the processing of your personal data in accordance with the General Data Protection Regulation and provisions of the Data Protection Act. You can read more about these provisions on the Swedish Authority for Privacy Protection’s website.

You will find general information about how Uppsala University processes personal data in accordance with the General Data Protection Regulation in Uppsala University’s data protection policy. This policy specifies all the rights you have when your personal information is processed at Uppsala University and where you can turn to exercise your rights.

Processing of personal information in the Uppsala University Alumni Network

On this page you can read more about how we process your personal data in the Uppsala University Alumni Network, what it means for you and what rights you have in connection with the processing of your data in the network. You can also obtain information here about where you can turn if you have questions about the processing or your membership.

About the personal identity number

To verify your identity, we need your personal identity number or your temporary personal identity number. The personal identity number is used to obtain accurate study information from Ladok, the national system for study documentation. The personal identification number is also required for the automatic updating of Swedish addresses done by the Swedish Personal Address Register (SPAR).

Before you can register as a member of the Alumni Network, you need to read through the text explaining what applies to the processing of personal data. Then check the box on the registration page indicating that you have read the information.

Legal basis

The legal basis is consent. When you register in the Alumni Network, you consent to the processing of your personal data according to the following information.

Purpose

The purpose of the processing is to develop education and research at Uppsala University by maintaining contact with and developing relationships with the University’s alumni and being able to communicate with them. The purpose is also to provide prospective and current students with insight into working life after completing studies.

Categories of personal data

The personal data you may choose to provide when you apply for membership in the Alumni Network includes contact information, your connection with Uppsala University, membership in associations in the Alumni Network, completed studies at Uppsala University and your employment.

Data controller

Uppsala University is a data controller responsible for personal data.

Recipients of data

Your personal data are not visible to other alumni. As a public authority, Uppsala University is covered by the Principle of public access to official documents.

Retention period

Your personal data will be saved until further notice. Your membership is valid until you choose to withdraw. However, data is deleted regularly of members who are identified in the Swedish population register as having protected identity or being deceased.

The source from which the data has been obtained (aside from data you provide yourself in the portal)

Uppsala University obtains data from:

  • The Swedish Personal Address Register, or SPAR (your current population registration data)
  • Ladok, the national study documentation system (study documentation data related to studies at Uppsala University).

The information obtained from Ladok is:

  • programme participation
  • exchange studies
  • total number of credits
  • main place of study
  • first and latest contact with Uppsala University
  • degrees

Transfer to a third country

Your personal data may be viewed by alumni association administrators outside the European Union if you choose to become a member of an alumni association outside the EU.

Your rights in connection with personal data processing

The right to withdraw consent

You may at any time withdraw your consent and request that we erase your personal information.

The right to erasure

You have the right to have your personal data erased as long as they are not an official document. We can erase data if, for example, they are of temporary or little importance.

The right to rectification

You have the right to request rectification of your personal data if they are inaccurate.

The right to restriction of your personal data

In accordance with the General Data Protection Regulation, you have the right to request that the processing of your personal data be restricted.

The right to object to processing

You have the right to object to our processing of your personal data in certain cases, for example in research or educational activities. We will then discontinue the processing unless we have compelling grounds to continue with it, or if the processing is necessary to exercise legal claims that we may have (such as in relation to a party to a contract/supplier).

The right to a register extract

You have the right to ask for a copy of the data about you that is processed at Uppsala University. The information is obtained from Uppsala University’s personal data processing list. In connection with such a request, Uppsala University also provides additional information about the processing such as its purpose, the categories of personal data processed, the expected storage period and so on.

The right to submit complaints

If you believe that we are processing your personal data in a manner contrary to the General Data Protection Regulation, you can submit a complaint to the Swedish Authority for Privacy Protection.
