On this page, you will find recommendations and support for working with different types of international agreements for student activities.

Exchange studies agreements

An exchange studies agreement enables students to study courses for one or two semesters at a partner university abroad.

This is usually included in an exchange studies agreement

  • The number of students to be exchanged. An exchange agreement should always aim to be balanced in both directions. A 1:1 ratio of the number of semesters, months, or credits is normally agreed upon. However, it may be possible to change for example a semester for participation in summer courses.
  • The subjects, courses, or programmes the agreement covers.
  • Other services that may be included, such as help finding housing or language courses.
  • The length of the agreement. 3-5 years is the recommended length. Ongoing contracts are not recommended.
  • Contact information to the administrator responsible at each university.
  • How any disagreements should be resolved.
  • Other commitments the parties undertake towards each other and the students.

Exchange studies agreements can be signed at three administrative levels:

The department has administrative responsibility for the agreement, and the agreement is limited to the students and course offerings of the department. It is possible to sign a so-called tripartite agreement when a department sends students within a subject while receiving students from another subject.

The faculty has the administrative responsibility for the agreement, and the agreement is limited to the faculty's students and course offerings.

The agreement covers all students at the University and the courses marked as open to exchange students in Selma, as well as the available courses taught in Swedish. The Unit for International Mobility has the administrative responsible for the agreement.

Grant opportunities

It is possible to sign student exchange agreements within programmes offering scholarship funds for exchange studies. They have certain formats and administrative demands.

Student exchanges with Erasmus agreements can cover all subjects at bachelor's, master's or doctoral level. Agreements can be signed at all three administrative levels at Uppsala University, with universities in all Erasmus programme countries. Nordplus consists of several different networks with universities in the Nordic and Baltic countries. Uppsala University is part of the Nordlys and NORDTEK networks. Through funding from the Nordic Council of Ministers, Nordplus offers financial support for student and employee exchanges between partners from the eight participating countries and three autonomous regions in the Baltics and the Nordics. Checklist

This checklist highlights general issues to consider before signing or renewing a student exchange agreement with a foreign university.

Courses

  • Can both higher education institutions offer at least one full semester of courses (equivalent to 30 credits) that can attract students?
  • Do the students have sufficient language skills to take these courses?
  • Is it possible to identify courses at partner universities whose credits can be easily transferred?

Administration

  • Are there administrative resources at both higher education institutions that can manage the exchange?
  • At UU, the part of the organisation that signs the agreement is also responsible for administering it.

Supplementary services

  • Which supplementary services does the partner university offer?
    • Examples of supplementary services include help with finding accommodation and opportunities to take language courses or participate in buddy programmes.

Balance

  • Does the agreement allow for a balance between the institutions?
  • By balance, we mean that you will receive incoming students who have taken an equal amount of credits as your outgoing students.

Renewing agreements

  • How long should the agreement period be?
  • It is recommended that exchange agreements are reviewed at regular intervals; roughly every three to five years.
  • Continuous agreement periods are not recommended.

Agreements for student placements abroad

Students can carry out several study-related activities abroad. Such activities can be field studies, internship, practical placements (VFU in Swedish), clinical placement, or degree work that the student performs outside of Sweden during the time that they are enrolled in a course at Uppsala University.

Agreement necessary for insurance

The activity can be arranged in one of two ways:

  1. Through the student's own contacts.
  2. Via placements arranged by the student's department.

In both cases, there needs to be a signed agreement in order for the student insurance to be valid. Students who carry out an activity abroad sanctioned by the University are insured via Kammarkollegiet as long as there is a signed agreement between the department, the student and the host organisation, which regulates the time frame and scope of the activity. Grant opportunities

Through Erasmus, students can apply for grants to partly finance a study-related activity that is relevant to the student's study cirruculum in a country that is part of the Erasmus+ programme. Memorandum of Understanding

A Memorandum of Understanding (MoU) is a general agreement of the intention to cooperate in student or staff activities.

No details are regulated

An MoU does not regulate the details of a specific collaboration. Each activity needs to be supplemented with an agreement where the details of the collaboration are specified.

The agreement can be signed at different administrative levels

An MoU can be signed at different organisational levels at the University, but should match the corresponding level at the partner university.
