Directory structure

Already during an ongoing project it´s recommended to use a folder structure that will facilitate retention of data and other documents from a project. The University recommends the folder structure below to sort material according to what should be archived, what can be disposed of after a certain time after a project has ended and working material that can be deleted when the project ends.

Guidance on what type of material that should be kept and for how long can be found in the retention and disposal schedule for research material. External funders can also have requrements on how long material from a project should be kept.

Working material – folders for temporary files during an ongoing project

  • A1 – Administrative data
  • A2 – Drafts
  • A3 – Calculations
  • A4 – Processed data
  • A5 – Reference and source material
  • A6 – Presentations
  • A7 – Miscellaneous

Archival material – folders for for material that should be archived

  • B1 – Project description
  • B2 – Budget and financing
  • B3 – Research approvals
  • B4 – Minutes
  • B5 – Project diary/lab notes
  • B6 – Unpublished reports
  • B7 – Published works with Background Data

Disposable – folders for material that usually can be disposed of after ten years

  • G1 – Experiment protocols
  • G2 – Gathered data
  • G3 – Processed data
  • G4 – Media
  • G5 – Questionnaire surveys
  • G6 – Code Lists for identification.
    Any code keys that link data to individual persons or other protected source shall be stored separately and with a high level of security. G6 may contain general information on how code keys are stored and what is required to access them
