Rules for photography and publishing images

For photography, filming and recording of audio we differentiate between whether the material (1) will be used in the University’s own channels or if it (2) will be used in advertising/marketing material.

Everyone you want to photograph, film or include in an audio recording is to be given the opportunity to accept or decline to take part.

When the purpose is to inform about the University’s activities in our own digital channels and printed material, or for use by news media, you are to provide the information sheet below. The subject can grant or decline permission verbally, and if the subject is a minor their caregiver needs to give verbal consent. For lectures and other events, it is acceptable to provide information about any photography taking place using a poster in A3 format that is clearly visible at the entrance.

When the purpose is marketing material or advertising, participants are to sign a model agreement. By marketing material, we mean paid publication on a third-party, such as news media, billboards, Facebook, YouTube, and so on. If the participant is under 18, the agreement is also to be signed by the guardian.

“Authorised signatory” in this respect means that you have been delegated the authority to sign these types of agreement; this is governed by the University’s order of delegation. If you are unsure whether you can sign the agreement on behalf of the University, check with your line manager.

The signed agreement is to be registered by the ordering party at the University and a copy is to be sent to the Communications Division. Photos made under the model agreement are to be clearly marked with the following notice in the image bank: Model agreement secured – may be used for marketing/advertising.

Every photographer has received both the information sheet and the model agreement in Swedish and in English.

Photographers must be consulted in accordance with the University’s framework agreement. The images may be used freely, provided Uppsala University is the sender. If the image is to be used by a third party, a separate license for third-party use must be purchased for a fee.State the name of the photographer when possible.If the photographer is employed by Uppsala University, Uppsala University owns the image rights. This means that it can be freely used with both the University as the sender, and when the image will be used by a third party such as the media.
