Archiving and Erase of Public Records

What Should be Archived?

Uppsala University is obliged to archive public documents, regardless of medium, from the business. The authority's archives must reflect the activities and are, according to the Archives Act, part of the national cultural heritage.

Archives Act (1990:782)

The Archives Act states that the archives of all authorities must be preserved, kept in order and cared for so that they satisfy:

  1. the right of citizens to access public documents,
  2. the need for information for the administration of justice and administration,
  3. and research needs.

Uppsala University's central archive contains documents from the university's central operations, but also from certain departmental archives. In addition to these archives, there are also archives from other activities that have had a connection to the university.

Electronic archiving

The documents that are received and created only digitally and uploaded in the W3D3 diary are also archived in UU's e-archive.
However, the documents that are received on paper or drawn up and signed manually, which are then also scanned and loaded into the W3D3 diary, must be archived in the paper archive.

Erasing of documents

Certain public documents must be removed from the university's archives after a certain period of time or in connection with specific factors.

Document Managementplan and Regulations

Specific conservation and thinning plans, arranged by area.
