Processing of personal data by the scholarship management system

The scholarship management system manages the entire scholarship process, from application to review and decision, as well as documentation of obtained scholarships, information to scholarship holders and monitoring of scholarships. During this process, some of your personal data is processed.

Students, researchers and others eligible to apply for the University’s scholarships can do so via the system, which requires logging in. This service offers features such as showing available scholarships and an application area. Scholarship holders can also see information about their obtained scholarships and associated decisions.

To be able to manage scholarship applications, the University stores information when you log in and when you apply for a scholarship. Uppsala University(UU) is personal data controller responsible for processing your personal data. UU then tasks Uppsala University Foundations Management of Estates and Funds, which serves as the processer, to process the information you submit in connection with your scholarship application. The information registered in the scholarship system that is needed to administer your application is:

  • unique identifier from federated login (for example Joint Web Login at Uppsala University), in instances where you choose to use such a login (called ‘single sign-on’ in the service).
  • first name
  • last name
  • email address
  • personal identity number

The processing of personal data is conducted in accordance with the legal grounds stated in Article 6 (1) (f) of GDPR, or legitimate interest. If you are granted a scholarship, your information is stored in accordance with the requirements of the Bookkeeping Act and Archives Act and in accordance with Article 6 (1) (c) of GDPR, or legal obligation. Applications that are not granted are deleted after two years in accordance with the regulations of the National Archives (RA-MS 2020:25). No personal data is transferred to any third party or third country (a country that is not a member of the EU or EES).
