Questions and answers about e-mail and calendar

My e-mail (client) isn’t working; what can I do?
Use Outlook on the web if you can. Send the error message to itsupport@uu.se If the e-mail doesn’t work on the web either - call 018-471 44 00.

What happens if I change my name?
If you change your name, you must contact the catalogue administrator in your department. Your new e-mail address will start to work automatically within an hour after the change is made. The old address will continue to work for a year.

What happens to the e-mail if I leave my employment?
The catalogue administrator will delete you as active at the department and your e-mail address will stop working. A standard absence message will be displayed.
If you are still employed in another department, the recipient will just receive a return message that the address (of the department) is incorrect.

I am leaving my job. Can I take my UU e-mail with me?
No. It counts as a public authority e-mail and you cannot take it with you. Read more about procedures for handling e-mail.

My e-mailbox is getting full. Can I get more space?
Contact IT support, who will help you.

What is the standard size of an e-mailbox in the e-mail system?
Your mailbox holds 50GB. If you need more, order it from IT support. An automatic warning will be sent out if your e-mailbox is getting full. Note that we never ask for user information directly or indirectly via links to log-in pages. You must always contact IT support.

How do I redirect my e-mail to another address?
See instructions for managing forwarding. Note that redirecting to external addresses is not permitted.

I have got a new e-mail address because I’ve started in a new department; how do I add my e-mail address in Outlook?
Users cannot add their new e-mail addresses in Outlook themselves because everyone has one e-mail account but can have several e-mail addresses linked to their e-mail account.

I have two different e-mail addresses and want to have different out of office messages. Can I do this?
You can only have one out of office message per account, i.e. even if you have more than one e-mail address, only one automatic reply can be used.

I have two different e-mail addresses for different organisational units and I want to use both of these as sender. What do I do?
We recommend that you start by changing your primary e-mail address to @uu.se. You can do this by contacting IT support and telling them that you want to change. The reason is that Uppsala University no longer creates different e-mail addresses; new users get the same address regardless of organisational unit.
What you can do yourself is create different signatures for the different organisational units. Before you send a message, you can then change signatures if needed. The disadvantage is that it is always your primary e-mail address that is shown as sender, which can mean that the recipient sees one e-mail address as sender and another in the signature.

I want to change the primary e-mail address. Can I do it myself in the Outlook client?
You cannot change your e-mail address yourself. Contact IT support to update the primary e-mail address in the underlying system (AKKA).

What do I do so that someone else can deal with my e-mail while I’m on holiday?
Contact IT support and tell them who you have appointed to represent you. Your representative will receive an automatically generated letter about access to your e-mail when the rights have been changed on the web server.

How can I open someone else’s mailbox?
To open another person’s mailbox you must first have been authorised to do so. You receive authorisation after a head of department (or equivalent) or the person who owns the mailbox has contacted IT support and named you as a representative. When you have received a letter about access to the person's mailbox, the other mailbox comes up automatically when you restart your Outlook.

When I accept meeting enquiries, the e-mail message ends up in the Deleted folder in Outlook - how can I change this so that they remain in the in box?
Accepted meeting requests ending up in the Deleted folder is a standard function in Outlook. You will find information about events in your Outlook calendar.

How do I add my e-mail account to my mobile phone?
Read how to add your e-mail account to different platforms here. On this page you will also find information about self-configuration if you use an e-mail programme other than those supported by Uppsala University.

How large attachments can I send?
The internet standard is 40 MB, but the recipient side will determine how big a message including attachments you can send. The limitation applies to the size of the whole message, not just the attachments.

Can I have the “proper” Outlook, i.e. without advertising, on my iPad?
Yes, the Outlook app is not financed by advertising. The Outlook app is available for Windows, Mac, iOS, iPadOS and Android and can be downloaded from the appropriate app store. Outlook on the web is reached with a browser at the address https://mail.uu.se.

My e-mail from the sender XXX ends up in the spam folder; how can I change things so that the e-mails end up in my in box in Outlook?
